Creating Estimates

Send professional estimates to clients and convert them to invoices when approved.

Creating Estimates

Estimates (also called quotes) let you send a proposed price to a client before starting work. When the client approves, you can convert the estimate to an invoice in one click.

Creating an Estimate

  1. Go to Estimates in the sidebar (or click New Estimate from the dashboard)
  2. Select a client
  3. Add line items with descriptions, quantities, and prices — the same way you would for an invoice
  4. Set an expiration date (optional) — after this date the estimate is no longer valid
  5. Add any notes or terms in the Notes field
  6. Click Send

Estimate Statuses

StatusMeaning
DraftNot yet sent
SentDelivered to the client
ViewedClient has opened the estimate
AcceptedClient approved the estimate
DeclinedClient rejected the estimate
ExpiredPast the expiration date without a response

Client Experience

When a client receives an estimate, they can:

  • View all line items and the total
  • Click Accept to approve or Decline to reject
  • Add a note explaining their decision

Converting to an Invoice

Once an estimate is accepted, open it and click Convert to Invoice. Invoice For Me creates a new invoice pre-filled with all the estimate's line items, client details, and amounts. Review the invoice, set a due date, and send it.

Tip: Estimates with clear, itemized line items get accepted 40% more often than lump-sum quotes.
